Booking Policies & Procedures

    Step 1: Determine your event type & when it can be requested

    University Sponsored Events:
    • This event type may be requested 45 days prior to desired date for Thursday - Saturday events / 90 days prior to desired date for Sunday-Wednesday event
    • These are events organized and sanctioned by the University
    • University Sponsored Student Events (including academic events comprised of predominantly students) MUST be booked in the Union or other available campus space

    Co-Sponsored University Events:

    • These are events which are jointly planned and executed by any external organization and university department, student organization or office
    • This event type may be requested at any time

    External Events:

    • These are events which are run exclusively by an external group
    • This event type may be requested at any time
    • All external groups must have an established university affiliation and are subject to review and approval

    Step 2: Determine availability

    • View availability online using 25Live
    • External event inquiries can contact the Ballroom Events Coordinator

    Step 3: Submit a completed request

    Step 4: Allow time for Confirmation

    • All events are submitted for university approval and email notification of approval status is sent within 2 weeks of a submitted request
