Standard (bulk) Mailings Step-by-Step
If mailing is (500) pieces or less call for quote, for it may be less to send FIRST CLASS.

During the design/print stage of a mailing; Mailing Services needs informed.

Send a Mailing Requisition to Mailing Services. Do not wait until we have the materials.
2. Consider which endorsement you would like on your mail pieces. Public Affairs will need to know during the design stage.
Please select one of the following and inform the designer/printer to add to your mailing panel.
“RETURN SERVICE REQUESTED” – No forwarding, only return. New address notification provided at first class postage rate. NOT RECOMMENDED TO USE ON LARGE OR HEAVIER MAILINGS
“CHANGE SERVICE REQUESTED” - No forwarding or return. New address notification provided. Cost per change notification .50 each piece. RECOMMEND USING FOR LARGER OR HEAVIER MAILINGS.
“ADDRESS SERVICE REQUESTED” - Forwarding and return. New separate address notification provided. Cost varies according to class & correction time frame. NOT RECOMMENDED TO USE ON LARGE OR HEAVIER MAILINGS.
“NO ENDORSEMENT” - Undeliverable standard mail is disposed of. NOT RECOMMENDED, LIST CANNOT BE CORRECTED IF DO NOT RECEIVE THE INFORMATION
3. Send Mailing Services your address list via email to lewisl@duq.edu and kriley@duq.edu.
Spreadsheet should only include the information that is needed for the address block.
Include in your email message the following:
Mailing requisition number, department, job description and who provided the address list (ex: Advancement Services, Admissions, etc…
If you want an ID number included in the address block.
4. Mailing Services will forward the corrected files to the person that provided the list.
Corrected list – this is the list used for your mailing.
Bad addresses – these addresses were not mailed to. These addresses may need checked.
New/Old addresses – this shows the addresses that were changed. The new addresses were added to the corrected list and mailed.
If you plan to use the addresses in the future, we recommend using the corrected list for future mailings. If you use your current mailing list the changes would need made to your file.
If your mailing was a onetime mailing…you will not need to do anything.
5. Returns from the USPS:
You will also receive changes from the USPS that were not made during the verification process.
These returns will be returned POSTAGE DUE and charged to your budget.
You will need to make these changes to your corrected list prior to using the list for future mailings.
The USPS recommends saving proof of changes for two years.
