ADMINISTRATIVE ASSISTANT I - #660

Salary: $17.00 / hr.

NATURE OF WORK:
This position supports the administrative functions of the Office of Admissions and Enrollment Management. These tasks will range from managing all formal communications to prospects and applicants: admission decision letters, scholarship letters, information request letters, Honor College letters, etc. This is a Full-time, 9-month position available immediately. The 9-month scheduled will start the 1st of September and end the 31st of May each year.

ILLUSTRATIVE EXAMPLES OF WORK:
1. Serves as an integral part of the admissions leadership team that designs and implements Duquesne University's student recruitment program.
2. Manage all formal communications to prospects and applicants: admission decision letters, scholarship letters, information request letters, Honor College letters, etc.
3. Work with Mailing Services and Public Affairs to manage large volume mailings to prospective students and applicants.
4. Coordinate receipt and data entry of enrollment deposits.
5. Manage the receipt of application fees paid by check.
6. Manage office inventory and ordering.
7. Assist with Open House Events; including specific school events, DuquesneFest, Fall Open House, Spring Open House and The Duquesne University College Fair.
8. Performs related duties as assigned to support the functions of a dynamic and team oriented environment.

REQUIREMENTS OF WORK:
The successful candidate will have earned a high school diploma, and completion of an Associate's degree from an accredited institution and/or business school is preferred. The candidate must have completed a minimum of 1 to 2 years' relevant work experience or an equivalent combination of relevant experience or training. Experience in a higher education setting and with student systems is highly preferred. Required skills include but are not limited to the following: ability to communicate effectively with multiple university constituencies; ability to work independently on responsible and confidential assignments; ability to understand and follow detailed oral and written instructions; ability to learn assigned tasks readily and adhere to prescribed procedures; ability to create and maintain complex records and files; knowledge of PCs and software, preferably Microsoft Office, including Word, Excel, Access; proficiency with email and internet use; sensitivity to the need of each individual to be treated with dignity and respect as it relates to diversity in general and the Mission of the University specifically; and the ability to establish and maintain effective working relationships with the University Community. NATURE OF WORK:
The Financial Aid Office's administrative assistant is responsible for initiating and coordinating administrative office duties while serving as the initial point of customer-service contact.

ILLUSTRATIVE EXAMPLES OF WORK:
1. Serve as initial point of customer-service contact for persons contacting the Financial Aid Office: in-person, telephone, e-mail. Coordinate appointments and scheduling of office personnel.
2. Execute general correspondence and inter-office communications via mailings, e-mail, Internet, display racks, and bulletin boards. Order, distribute, and inventory Financial Aid Office consumer information (e.g. Perkins, Nursing, Health Profession, Alcoa, etc.).
3. Compose correspondence and complete financial aid-related forms requiring knowledge of office policies and procedures, subject to review by the Director. Sign selected correspondence and requisitions on behalf of the Director, as directed.
4. Coordinate the information sharing between the Financial Aid Office and other agencies (internal and external) issuing financial assistance, or having information pertinent to the Financial Aid Office.
5. Create and maintain basic databases and/or spreadsheets for specific Financial Aid Office functions and record keeping (e. g. Exit Interview Process for students receiving Federal Loans - 80% of our student body receives Federal Loans).
6. Create and maintain documents for correspondence with Financial Aid applicants (e. g. Document Tracking, Suspends, Loan Information, Awarding, etc.).
7. Prepare documents for processing by Financial Aid advisors (e. g. received mail, loans, etc.).
8. Maintain the Financial Aid office's paper and electronic filing systems.
9. Coordinate the placement and hiring process of student employees.
10. Establish work schedules, train and supervise student employees within the Financial Aid office.
11. Recommend and collect agenda items for weekly Financial Aid Office meetings and maintain a record of meeting minutes. Attend and participate in other office meetings as needed.

NATURE OF WORK:
Perform a variety of clerical activities involved with greeting and screening visitors, screening and referring telephone calls for the Office of Undergraduate Admissions.

ILLUSTRATIVE EXAMPLES OF WORK:
1. Serves as an integral part of the admissions leadership team that designs and implements Duquesne University's student recruitment program.
2. Greet hundreds of visitors to the Office of Undergraduate Admissions annually.
3. Greet other University guests including the 5th Floor guests.
4. Present a positive image of the Admissions Office and Duquesne University to visitors whose initial contact with Duquesne is in the Admissions Office.
5. Answer routine questions and provide a variety of information to include distributing maps, bulletins, brochures and related material and answer general questions about Duquesne University and the Pittsburgh area.
6. Prepare students for interviews by providing them with forms and related information; ensure forms are completed as necessary; direct students to appropriate waiting or meeting area and resolves any visit issues.
7. Answer telephone, screen and refer calls, take messages for office; fill out appropriate forms in response to callers' requests for specific information and forward to appropriate place for action.
8. Manage VIP visits and tours.
9. Assist with Open House Events; including specific school events, DuquesneFest, Fall Open House, Spring Open House and The Duquesne University College Fair.
