Students and employees have access to Microsoft Office 365 calendaring through their University email account.

Personal calendars

Personal calendars are created by an individual and can be shared by doing the following:

  1. Go to and sign into your University email account.
  2. Click the calendar icon in the bottom left corner.
  3. Click the ... icon and select Sharing and permissions.
  4. Enter the email address of who you want to share the calendar with.
  5. Select the desired permission level and click Share.

Personal calendars are not recommended for departmental use since they are attached to an individual account. If the individual leaves the University, the calendar will be deleted along with their account.

Shared calendars

Shared calendars appear in the University's email address book. These calendars are typically used to schedule rooms or manage department events.

Request a shared calendar

Employees can request a generic email account for their department or organization by sending an email to with the following information:

  • Name of shared calendar (ex. Department X Sick/Vacation Calendar)
  • Owner of the shared calendar (This individual is responsible for assigning permissions to the calendar)
  • Brief description of what the generic email account will be used for
  • Whether the generic email account is permanent or temporary. If temporary, please indicate the date the account is needed until.

After your shared calendar is created, the CTS Help Desk will send you a confirmation email with instructions for opening the calendar and assigning permissions.

Open a shared calendar

You can open a shared calendar from the University email address book.

Outlook Web App (OWA)

  1. Go to and sign into your University email account.
  2. Click the calendar icon in the bottom left corner.
  3. Click Import calendar.
  4. Select From directory.
  5. Type the name of the shared calendar you want to add and select it from the search results.
  6. Click Add.

Microsoft Outlook (Windows OS)

  1. In Outlook, click the calendar icon in the bottom left corner.
  2. Click Open Calendar.
  3. Select From Address Book.
  4. Select Global Address List in the Address Book dropdown menu.
  5. Search for the calendar and double-click to open

Microsoft Outlook (macOS)

  1. In Outlook, click the calendar icon in the bottom left corner.
  2. Click Open Shared Calendar.
  3. Type the full calendar name in the search box.
  4. Select the appropriate calendar from the displayed results.
  5. Click Open.

Note: To view additional details about a calendar's appointments, the calendar owner will need to grant either Editor or Reviewer permissions to your account.

Assign permissions to a shared calendar

We recommend using Microsoft Outlook, available on Windows and macOS devices, to assign calendar permissions.

  1. Right-click the calendar name on the left-hand side of Outlook.
  2. Click Properties...
  3. Click the Permissions tab.
  4. Click Add to select a user.
  5. For permission level, please choose either Editor or Reviewer.
  6. Click OK (if you receive an error saying permissions cannot be set, click OK. Permission changes will still take effect.)
