Driving for University Business

Driving Approvals

Anyone driving a vehicle for University business MUST be approved by the Office of Risk Management.

To apply for driving privileges, please complete the Application for Driving Privileges.
In addition to submitting an application, applicants must also pass a Motor Vehicle Records check and are required to complete an online training program before being approved to drive.

TAP 38 and TAP 38 Addendum (Departmental Policy and Procedures for Driver Safety and University Insured Vehicle Use) provide guidelines and expectations of drivers operating University vehicles.

Insurance

Duquesne University is currently insured by Travelers Auto Insurance.
This insurance covers any damages or losses to University owned, leased or rented vehicles. 

Accident Reporting

All drivers operating a University Insured Vehicle must report each and every accident, regardless of damage, to the Office of Risk Management. Do NOT file a claim on your own! The Office of Risk Management will file a claim for you.

Failure to report damage of a University Insured Vehicle may result in the driver or the driver's department to be financially responsible for repair costs.

IF YOU ARE INVOLVED IN AN ACCIDENT...

Accidents Off Campus:

1. Report immediately to
        a) the appropriate law enforcement agency and provide them with the Duquesne University auto insurance card, also located in the glove box of Duquesne University Vehicles, and 
        b) to the Office of Risk Management: 412.396.2073. If no answer, please leave a message.
2. Take multiple, clear photos of the damaged areas (of any and all vehicles involved).
3. Gather contact information from any witnesses.
4. If another driver/vehicle is involved in the accident, gather the following information from the other driver (take a picture with your phone if you are able):
        a) Driver's License information
        b) Auto Insurance information
        c) License plate information
5. Complete the online Auto Accident Report Form and submit all of the above documentation to the Office of Risk Management.

Accidents On Campus:

1. Report immediately to Public Safety: 412.396.6002
2. Take multiple, clear photos of the damaged areas (of any and all vehicles involved).
3. Gather contact information from any witnesses.
4. If another driver/vehicle is involved in the accident, gather the following information from the other driver (take a picture with your phone if you are able):
        a) Driver's License information
        b) Auto Insurance information
        c) License plate information
5. Complete the online Auto Accident Report Form and submit all of the above documentation to the Office of Risk Management.

Vehicle Rentals

If you are renting a vehicle you may print or save a copy of the Duquesne University auto insurance card
*Duquesne insurance may only be used for Duquesne business, not personal use, unless approved by Risk Management.

When employees are renting vehicles they should:

1. Use a University P-card when possible.
2. Waive the rental company's insurance when renting a vehicle in the U.S. (rentals are covered under our auto policy*).
*International rentals not covered. If you are traveling internationally, please contact the Office of Risk Management.

Duquesne University currently has an Agreement in place with Enterprise Rental Agency which entitles University affiliates to 5% off the best rate available at time of rental when using our code.
